One reconciliation trail
Follow deposits through posting and Finance reporting with clear source references.
Connect payment posting with bank activity and Finance reconciliation. Follow the money from the payer response to the deposit, the patient account, and the financial record.
Bring remittance detail, payment batches, and account activity together. Match the payment to the intended account, review adjustments, and route exceptions before a posting discrepancy becomes a reconciliation problem.
Use the bank’s BAI2 file to compare reported deposits and cash activity with payment and posting totals. Combine bank references with EFT trace numbers, 835 remittance detail, lockbox information, and posting records where available. BAI2 provides bank activity; it does not replace claim-level remittance detail.
Balance daily activity, review unresolved items with Finance each week, and support the monthly close with documented totals, outstanding differences, and review sign-off. Keep timing differences visible until resolved.
Track missing remittances, unapplied cash, duplicate deposits, reversals, and mismatched batches. Assign ownership, retain the supporting evidence, and close the exception only after the records agree.

| ACME reconciliation | Amount | Status |
|---|---|---|
| EFT / remittance batch A | $80,000 | Matched |
| Lockbox batch B | $43,500 | Matched |
| Deposit without posting detail | $1,500 | Review required |
